X-Charge: Process a Payment

X-Charge can be used to process a credit card payment from a patient or claim payments via a prepaid insurance credit card.

Patient Payment

  1. In the patient's Account module, click Payment.
  2. Enter the charge Amount.
  3. If the credit card information (token) has already been stored, select the credit card to apply the charge to. If not, proceed to step 4.
  4. Click X-Charge to open the X-Charge Transaction Types window.
  5. Select payment information (see below for a description of options).
  6. Click OK.
  7. If the credit card token has already been stored, X-Charge will automatically process the payment. If not, fill out the credit card information on the X-charge window, then click Process.

Claim Payment (via a prepaid insurance card)

  1. Open the Edit Insurance Payment window. This window opens when you are Finalizing a Claim Payment, entering a Batch Insurance Payment, or processing an ERA 835.
  2. Enter the payment Amount and any other information.
  3. Click X-Charge to open the X-Charge Transaction Types window.
  4. Select payment information (see below for field details).
  5. Click OK.
  6. If the credit card token has already been stored, X-Charge will automatically process the payment. If not, fill out the credit card information on the X-charge window, then click Process.

A note with transaction details will be automatically added to Note field.

X-Charge Field Options
Transaction Type: Purchase is a standard credit card charge.

Save Token: Store the credit card number and expiration date as a token for future use. Set the default in Account Module Preferences.

Prompt for Signature: Prompt patients for a signature on the credit card terminal before completing transaction. Terminal must support electronic signature capabilities. Set the default in X-Charge Setup.

Print Receipt: Automatically print a receipt to the default receipt Printer when the transaction is completed. Set the default in X-Charge Setup.

Partial Approvals
If a card does not contain enough funds to cover the current transaction, an X-Charge message will alert you that the amount entered is not what X-Charge processed, and how much additional funds are required:

Click OK to close the alert.

Technical Details
If using Clinics, the clinic selected on the Payment window or the Edit Insurance Payment window will be used to process the charge.

Clicking Cancel:

  • Clicking Cancel on the Payment window (patient payment) after a successful X-Charge transaction will void the transaction. Then two payments (one for the sale and one for the void) will show in the Patient Account.
  • Clicking Cancel on the Edit Insurance Payment window after a successful X-Charge transaction, will not void the transaction and details will not be saved. To restore, you must manually finalize again.
